How to Make Microsoft 365 Copilot Sound Like You

Yes, you can make Microsoft 365 Copilot write in your voice. Copilot has three personalisation surfaces: Draft Instructions in Outlook, custom instructions and saved memories in Copilot settings, and grounding with your own writing samples. Set up together, they replace Copilot's generic default tone with your sentence length, your greetings, and your sign-offs. Setup takes under an hour and does not require a technical background.

Why does every Copilot draft sound the same?

Copilot's default drafts sound generic because, out of the box, Copilot knows nothing about how you write. It has never seen your emails, your phrasing, or your rules, so it falls back on the most statistically average professional tone possible. That is why every untouched draft opens with “I hope this email finds you well.”

This is not a flaw you are stuck with. It is a blank profile you have not filled in yet. Microsoft has been shipping personalisation features across 2025 and 2026 precisely because the generic voice was the number one complaint from daily users.

If you have been rewriting every draft by hand, you have been doing work the settings could do for you.

Can Microsoft 365 Copilot actually learn your writing style?

It can, through three separate mechanisms that do different jobs. Knowing which is which matters, because they live in different places and cover different apps.

First: Outlook Draft Instructions. A settings panel inside the new Outlook where you write standing instructions for every email Copilot drafts, covering tone, length, greeting, and sign-off.

Second: custom instructions and saved memories. Account-level preferences in Copilot's settings that follow you into Copilot Chat across Word, Excel, PowerPoint, and Teams. Copilot also builds memory from your conversations, and you can review or delete what it has remembered.

Third: writing samples. You paste real examples of your writing into a request and tell Copilot to match them. This is grounding: instead of interpreting a description of your style, Copilot copies the real thing.

There is no single “sound like me” toggle. Outlook Draft Instructions and Copilot personalisation are separate systems with different scopes, and they can even disagree. That is the main reason most people give up: they set one layer, see inconsistent results, and conclude it does not work. It works. It is just three switches, not one.

What is the difference between describing your style and showing it?

Describing your style gets you halfway. Showing it gets you the rest. Instructions like “keep emails under 150 words, greet with the first name, no exclamation marks” are rules Copilot can follow reliably. But your actual rhythm, the way your third sentence tends to turn, is not something you can describe. It has to be copied from examples.

That is why the strongest setup uses both. Rules in the settings panels, and three to five real writing samples pasted in when a draft matters. Guidance on grounding Copilot with personal writing samples consistently recommends samples of at least three to five sentences, with your real greeting and closing intact, because short fragments do not carry enough pattern to copy.

Here is one starter block you can adapt and paste into Outlook Draft Instructions today:

Starter prompt: your personal instructions

Draft emails in a direct, warm tone. Lead with the main point in the first sentence. Keep emails under 150 words. Short paragraphs, maximum three sentences each. Greet with 'Hi [first name],' and sign off with '[your sign-off]'. Never use filler like 'circling back' or 'touching base'. No exclamation marks.

Paste this directly into your Outlook Draft Instructions panel.

What do you need before you can personalise Copilot?

You need a Microsoft 365 Copilot licence for the full set of features, and the new Outlook for Draft Instructions. Three gates to check before you spend any time on this:

Licence. Copilot in Outlook, Word, and the other apps requires the paid Microsoft 365 Copilot add-on. The free Copilot Chat tier includes some personalisation, but not the in-app drafting features.

App version. Draft Instructions lives in the new Outlook on Windows and Outlook on the web. Classic Outlook does not have the panel.

Admin policy. Your organisation's administrator can disable memory and personalisation for the whole company. If a setting described in Microsoft's documentation is missing from your screen, that is the first thing to suspect. Ask IT before assuming the feature does not exist.

If you are choosing where to start and you live in your inbox, start with Outlook Draft Instructions. One panel, one paste, immediate effect on the drafts you generate most often.

Is your Copilot still on factory settings?

Answer these 4 questions to find out.

Have you opened Copilot's settings and added custom instructions?
Have you turned on Draft Instructions in Outlook?
Have you ever pasted 3 or more of your own emails into a Copilot request as examples?
Have you reviewed what Copilot has saved in memory?

What can Copilot personalisation not do yet?

It cannot make every surface consistent, it drifts on long documents, and it cannot invent a style you have not shown it. Honest limits, so you set expectations correctly:

Coverage is uneven. Outlook instructions govern Outlook drafts. Custom instructions cover Copilot Chat. Some apps and flows pick up less personalisation than others, and the two systems can conflict.

Long form drifts. Voice holds well on emails and short documents. On multi-page drafts, the middle sections slide back toward the default tone and need a pass from you.

Memory is curated, not magic. Saved memories are useful but accumulate stale facts. A monthly review keeps them accurate.

None of this undermines the setup. It means Copilot personalisation behaves like a capable new assistant: excellent once briefed, still supervised on the big stuff.

What does this actually change in your week?

The rewriting tax disappears from your daily email. That is the real payoff. Instead of generating a draft, sighing, and rebuilding it sentence by sentence, you generate a draft that already opens the way you open, holds your length, and lands your sign-off. You skim, adjust one line, and send.

For someone who drafts even ten emails a day with Copilot, the difference between “rewrite each one” and “skim and send” is measured in hours per week, and it compounds. The people who conclude Copilot saves them nothing are, almost always, people running it on factory settings.

Frequently asked questions

Q: Can Copilot learn my writing style automatically without setup?

A: Partially. Copilot builds saved memories from your conversations over time, and some drafting features adapt to context. But the reliable results come from deliberate setup: Draft Instructions in Outlook, custom instructions in Copilot settings, and real writing samples. Ten minutes of setup outperforms months of passive use.

Q: Does Copilot personalisation work in the classic Outlook desktop app?

A: No. Draft Instructions is a feature of the new Outlook on Windows and Outlook on the web. If you are on classic Outlook, you will not find the panel. You can still use writing samples in Copilot Chat, which works wherever Copilot Chat does.

Q: Do I need the paid Copilot licence to personalise it?

A: For the full set, yes. In-app features like Outlook Draft Instructions require the Microsoft 365 Copilot add-on licence. The free Copilot Chat tier supports custom instructions and pasted writing samples, so you can get partial results without the licence.

Q: Is my writing data safe when Copilot remembers my style?

A: Copilot personalisation runs inside your Microsoft 365 tenant and inherits your organisation's privacy and compliance boundary. Your admin controls whether memory is on at all, and you can view and delete saved memories yourself in Copilot's settings. Check your organisation's policy if you handle sensitive material.

Q: What if my Copilot drafts ignore my instructions?

A: Check three things in order: that the instructions toggle is actually on, that a conflicting instruction is not set in the other personalisation surface, and that your admin has not disabled the feature. Instructions also apply per draft type, so a summary request may not follow email rules.
